These Terms & Conditions apply to travel planning, consulting, booking, and related services provided by Lavishly Travel. By paying a professional planning fee, approving a proposal, authorizing a booking, or making a payment toward travel, you acknowledge and accept these terms.

Lavishly Travel is registered as a Florida Seller of Travel, Ref. No. ST42087.

Consultation and Service Eligibility

Lavishly Travel works with U.S.-based travelers whose trips originate in the United States. A scheduled phone consultation is required before services begin so we can discuss your priorities, budget, timing, travel style, and the level of help you need.

Not every request will be a fit. Lavishly Travel may decline or discontinue a request based on timing, budget, destination, trip complexity, supplier availability, scope of work, communication concerns, or our ability to provide the appropriate level of service.

Professional Planning Fees

Professional planning fees compensate Lavishly Travel for research, consultation, itinerary design, supplier coordination, proposal development, and professional expertise. The amount depends on the type and complexity of the service and will be discussed before work begins.

Planning fees are:

  • Due before research, planning, or proposal work begins
  • Nonrefundable once paid
  • Separate from all trip deposits, supplier payments, and travel costs
  • Based on the agreed scope of work

If the destination, dates, number of travelers, trip structure, or requested services change substantially, an additional planning fee may be required before new work begins.

Air-Only Planning and Booking

Lavishly Travel may assist with air-only arrangements when the service is handled during a scheduled live phone call. The applicable nonrefundable professional planning fee must be paid before Lavishly Travel researches flights or provides flight information.

Airfares, schedules, seat availability, fare rules, and payment deadlines can change quickly. The traveler must be prepared to review the available options, make decisions, provide authorization, and complete payment while on the call. Lavishly Travel cannot guarantee that a fare or seat will remain available after the call ends.

Pricing, Availability, and Booking Confirmation

All quoted prices, schedules, availability, promotions, amenities, and terms are subject to change until the traveler accepts the proposed arrangements, provides the required traveler information and payment authorization, and the applicable supplier confirms the booking.

A proposal, email, screenshot, verbal estimate, or itinerary draft is not a guarantee of price or availability. Lavishly Travel cannot control supplier inventory, exchange-rate changes, fuel surcharges, taxes, fees, schedule changes, or changes to a promotion.

Travel arrangements are confirmed only after Lavishly Travel provides written confirmation that the applicable supplier has accepted the booking.

Suppliers and Their Terms

Hotels, airlines, cruise lines, tour operators, transfer companies, insurance providers, and other travel suppliers are independent businesses. Their individual terms, payment schedules, change rules, cancellation policies, refund rules, and service limitations apply to the portions of the trip they provide.

Lavishly Travel acts as an advisor and intermediary and does not own, operate, or control these suppliers. The traveler is responsible for reviewing and accepting the terms that apply to each booking.

Trip Deposits and Post-Deposit Changes

A trip deposit is a payment toward the travel arrangements or a supplier reservation. It is not the same as the professional planning fee.

Once a trip is deposited, the approved itinerary becomes the active version of the trip. If a traveler requests significant changes after deposit, those changes may require a new professional fee and a scheduled live phone call. Because availability and pricing can change while a trip is being revised, the traveler may need to make decisions and provide authorization during that call.

Lavishly Travel cannot create, price, or hold two competing versions of an already deposited trip at the same time. Before major revisions begin, the traveler must identify which direction should remain active and understand that changing confirmed arrangements may affect pricing, availability, promotions, deposits, and cancellation penalties.

Payments and Deadlines

Payment amounts and deadlines vary by supplier. Travelers are responsible for making payments by the deadlines provided by Lavishly Travel. Missing a deadline may result in cancellation, loss of availability, price changes, or loss of deposits and other payments.

A credit card authorization does not guarantee confirmation if the supplier changes the price or availability before processing. Payments are not considered complete until the supplier or payment processor accepts them.

Changes, Cancellations, and Communication

Complex changes, major itinerary revisions, and cancellations require a scheduled phone conversation. These matters are not handled solely through email because details can be misunderstood and supplier availability may require immediate decisions.

Email may be used for simple requests and written follow-up. Lavishly Travel does not accept trip instructions, booking approvals, changes, or cancellations by text message. Text messages are used only for reminders, calendar links, and rare live coordination when Lavishly Travel is already handling an urgent matter for that traveler.

A change or cancellation is not complete until Lavishly Travel provides written confirmation after the required conversation and after any applicable supplier payment, penalty, or professional fee has been processed. Supplier penalties and restrictions apply, and additional Lavishly Travel service fees may apply when substantial work is required.

Travel Protection

Travel protection is strongly recommended. Policies vary, and coverage is subject to the insurer's terms, exclusions, limits, and claim requirements. Lavishly Travel is not an insurance company and cannot guarantee that a claim will be paid.

Travelers are responsible for reviewing policy documents and deciding whether the coverage meets their needs. Insurance premiums are generally nonrefundable once purchased, subject to the insurer's terms.

Traveler Responsibilities

Each traveler is responsible for:

  • Providing names exactly as they appear on the traveler's government-issued identification
  • Checking passports, visas, entry rules, transit requirements, health requirements, and documentation for minors
  • Ensuring passports and other documents remain valid for the entire trip and for any additional validity period required by the destination
  • Reviewing names, dates, flights, accommodations, transfers, tours, and other details promptly
  • Reporting errors immediately
  • Following supplier check-in, reconfirmation, baggage, conduct, and documentation rules
  • Carrying official travel documents and emergency contact information

Digital itineraries and travel apps are provided for convenience. Travelers must rely on final supplier documents, tickets, vouchers, and written confirmations for the controlling information.

Entry, health, and documentation requirements can change. Government authorities make the final decision about admission to or departure from a country.

Special Requests and Accessibility

Dietary needs, room preferences, bedding, seating, adjacent rooms, accessibility requests, celebrations, and other special requests will be communicated to suppliers when possible, but they are not guaranteed unless the supplier confirms them in writing.

Travelers should disclose mobility, medical, accessibility, or other important needs early enough for Lavishly Travel to determine whether appropriate arrangements may be available.

During-Travel Assistance

When an issue occurs during travel, the traveler should first contact the airline, hotel, cruise line, local tour operator, transfer provider, or emergency number listed in the final documents, as that supplier is usually best positioned to provide immediate help. The traveler should then notify Lavishly Travel.

Lavishly Travel will provide reasonable assistance but is not a 24-hour emergency service and cannot guarantee a particular outcome. For medical, safety, or life-threatening emergencies, contact local emergency services immediately.

Travel Risks and Events Beyond Our Control

Travel involves risks, including delays, cancellations, illness, weather, strikes, civil unrest, natural disasters, government restrictions, supplier insolvency, and other events outside Lavishly Travel's control.

Lavishly Travel is not responsible for the acts, errors, omissions, schedule changes, service failures, or financial failure of independent suppliers, nor for events that could not reasonably be prevented or controlled. When disruptions occur, Lavishly Travel may assist with available alternatives, but additional costs and supplier terms remain the traveler's responsibility.

Client Cooperation and Conduct

Travelers must provide accurate information, respond by stated deadlines, communicate respectfully, and make timely decisions. Lavishly Travel may pause or end services because of abusive behavior, nonpayment, repeated missed deadlines, false information, suspected fraud, illegal requests, or conduct that prevents the work from being completed responsibly.

Ending services does not make a nonrefundable planning fee refundable and does not override supplier terms or penalties.

Privacy and Payment Security

Lavishly Travel may share necessary traveler information with suppliers, payment processors, itinerary platforms, and service partners to plan and manage the trip. Information will be limited to what is reasonably needed for those services.

Do not send passwords, full credit card details, or other highly sensitive information by ordinary email or text. Use the secure forms and payment methods provided by Lavishly Travel.

Acceptance for All Travelers

The lead traveler is responsible for sharing these terms and all supplier terms with every person included in the booking. By authorizing services or payment, the lead traveler represents that they have authority to act for the travelers included in the reservation.

Acceptance occurs when a traveler pays a professional planning fee, approves a proposal, authorizes a booking, or makes a payment toward travel.

Privacy Policy

This Privacy Policy is incorporated into and forms part of the Lavishly Travel Terms & Conditions. It explains how Lavishly Travel collects, uses, shares, and protects personal information when you visit our website, submit an inquiry, schedule a consultation, request travel-planning services, or book travel through us.

Information We Collect

Depending on the services requested, Lavishly Travel may collect:

  • Contact information, including names, email addresses, telephone numbers, and mailing addresses
  • Traveler details, including legal names, birth dates, citizenship, passport information, known traveler numbers, loyalty-program details, and emergency contacts
  • Trip preferences, budgets, travel history, accessibility needs, dietary needs, and other information needed to plan or manage travel
  • Communications, forms, consultation notes, approvals, and service history
  • Billing and payment-related information submitted through secure payment systems
  • Newsletter subscriptions and marketing preferences
  • Website and device information collected through cookies, analytics, and similar technologies

Please provide only information that is accurate and necessary for the requested service. When you provide information for another traveler, you represent that you have permission to share it with Lavishly Travel.

How We Use Information

Lavishly Travel may use personal information to:

  • Respond to inquiries and determine whether our services are a good fit
  • Research, design, quote, reserve, and manage travel arrangements
  • Communicate about consultations, payments, deadlines, documents, changes, and travel support
  • Coordinate with travel suppliers and service providers
  • Maintain business, financial, legal, and client-service records
  • Prevent fraud, protect account and payment security, and enforce our Terms & Conditions
  • Improve our website, services, communications, and client experience
  • Send travel information or marketing communications when permitted

How Information Is Shared

Lavishly Travel does not sell or rent personal information.

Information may be shared only when reasonably necessary with:

  • Airlines, hotels, cruise lines, tour operators, transfer providers, insurance companies, destination partners, and other suppliers involved in the requested trip
  • Our host agency and travel-industry partners when required to research, reserve, service, or document travel
  • Payment processors, itinerary platforms, scheduling systems, email providers, website providers, analytics services, and other technology vendors that support our business
  • Government authorities, legal advisers, insurers, or other parties when required by law or reasonably necessary to protect rights, safety, security, or prevent fraud
  • A successor organization if the business is reorganized, transferred, or sold, subject to applicable privacy obligations

Travel often requires personal information to be transmitted to suppliers located outside your state or outside the United States. Those suppliers may operate under different privacy laws and their own privacy policies.

Payment Information

Payments should be submitted only through the secure forms and payment methods provided by Lavishly Travel or the applicable supplier. Do not send full credit card numbers, passwords, or other highly sensitive information by ordinary email or text message.

Lavishly Travel does not intentionally store complete credit card details in ordinary email, text messages, or general client notes. Payment processors and travel suppliers may retain payment information according to their own policies and legal requirements.

Cookies and Website Analytics

The Lavishly Travel website and its service providers may use cookies and similar technologies to operate the website, remember preferences, understand website traffic, improve performance, and support marketing efforts.

You may control some cookies through your browser or device settings. Disabling cookies may affect how parts of the website function. Third-party services used by the website may collect information according to their own privacy policies.

Email Marketing

If you subscribe to receive travel inspiration, updates, or marketing emails, Lavishly Travel may use your name and email address for that purpose. You may unsubscribe using the link provided in an email or by contacting us.

Unsubscribing from marketing does not stop service-related messages concerning an active inquiry, consultation, booking, payment, or trip.

Data Retention and Security

Lavishly Travel retains personal information only as long as reasonably necessary to provide services, maintain required records, resolve disputes, meet legal or supplier obligations, and protect legitimate business interests.

Reasonable administrative and technical safeguards are used to protect personal information. However, no website, email system, storage platform, or method of electronic transmission can be guaranteed to be completely secure.

Your Choices and Requests

You may contact Lavishly Travel to request access to or correction of personal information in our records. You may also request deletion when the information is no longer required for an active trip, financial or legal recordkeeping, dispute resolution, fraud prevention, or another legitimate obligation.

Some information held by independent travel suppliers or technology providers must be requested directly from those organizations. Lavishly Travel cannot control or delete records maintained independently by third parties.

Children's Information

Travel services are arranged with an adult lead traveler. Lavishly Travel does not knowingly collect personal information directly from children under 13. Information about a minor traveler may be provided by a parent or legal guardian when it is necessary to arrange or manage that child's travel.

Third-Party Websites and Services

Our website, emails, itineraries, and documents may contain links to third-party websites or services. Lavishly Travel is not responsible for the privacy, security, content, or practices of those independent organizations. Review their policies before providing personal information.

Changes to This Privacy Policy

Lavishly Travel may update this Privacy Policy when our services, technology, or legal obligations change. The effective date shown above identifies the current version. Continued use of our website or services after an update is subject to the revised policy.
